How to Pack a Parcel Safely for Shipping

By Krzysztof Kwiatkowski · Founder of SpeedPack (since 2011) · Published 14 Jun 2026 · Updated 14 Jun 2026

A parcel packed well arrives intact; a parcel packed badly often does not. The essentials are a sturdy box that fits the contents, firm cushioning so nothing moves, strong tape on every seam, and a clear label. Below is a step-by-step guide for anyone in Ireland sending a parcel to or from Poland.

Choose the right box

Your box is the first line of defence, so do not cut corners here.

  • Pick a size that closely fits the contents. A box that is too big invites crushing and shifting; one that is too tight strains the seams.
  • Use a single-wall box for light, soft items and a double-wall box for anything heavy, dense, or breakable.
  • Always use a clean, undamaged box. Soft corners, old tape marks, and previous labels weaken the structure and confuse handlers.
  • For very heavy or awkward goods, a rigid plastic crate or a custom wooden case may be worth the extra effort.

Cushion and fill the voids

Movement inside a box is what breaks things. Your goal is for nothing to shift when you give the box a gentle shake.

  1. Line the bottom with a 4-5 cm layer of cushioning before the contents go in.
  2. Wrap each item individually in bubble wrap, foam, or several sheets of paper.
  3. Fill every gap with void fill: scrunched paper, bubble wrap, foam peanuts, or air pillows.
  4. Add a final cushioning layer on top before sealing, so the contents sit firmly in the centre, away from the walls.

Protect fragile items

Glass, ceramics, electronics, and screens need extra care.

  • Wrap fragile pieces in at least two layers of bubble wrap, with the bubbles facing inward.
  • Keep each fragile item at least 5 cm from the box walls and from other items.
  • Separate plates, frames, and discs with cardboard dividers and pack them on their edge, not flat.
  • For boxed electronics, use the original packaging where possible, then place that box inside a larger one with cushioning around it.

Seal the box properly

A box is only as strong as its seal.

  • Use strong packing tape (pressure-sensitive or reinforced), never masking tape, sticky tape, or string.
  • Apply the H-tape method: run tape along the centre seam, then across both edge seams at each end, on the top and the bottom.
  • Use two or three strips per seam for heavy parcels.
  • Remove or fully cover any old labels and barcodes so the parcel is not misrouted.

Mind weight and balance

How you load the box matters as much as what goes in it.

  • Place heavier items at the bottom and centre, with lighter items on top.
  • Keep weight evenly distributed so the parcel does not tip or list when carried.
  • Stay within the standard parcel limit of 50 kg. Larger or heavier items, and pallets, are priced individually.
  • If a single box is getting too heavy or too full, split the contents into two smaller, well-packed parcels instead.

Label clearly and avoid common mistakes

  • Write the full sender and recipient addresses, including postcode and a phone number, and place the label on the largest flat face.
  • Add "Fragile" and "This Way Up" markings where relevant, and put a duplicate address slip inside the box as a backup.
  • Avoid the most common mistakes: reusing weak or damaged boxes, under-filling so contents rattle, using weak tape, and overpacking a box past its weight limit.
